Small IT firm focused on optimization tools seeking a full-time, virtual Account Administrator to support customer sales.

Hours/Schedule: Full-time, flexible

Job Type: Direct hire

Location Requirements: Company located in California, but all work is remote

Rate: Annual salary $65-75K based on experience plus excellent benefits

Job Description: Accounts Administrator will manage our company’s accounts payable and receivable. Accounts Administrator responsibilities include managing customers through the final processes of our payment and software delivery processes, reviewing and reconciling accounts, processing payments with external partners and maintaining updated records of invoices and receipts. To be successful in this role, you should have experience in account management and be familiar with bookkeeping software. Ultimately, you will ensure we effectively communicate with customers and process transactions in an accurate and timely manner.

Responsibilities:

  • Own the final steps in our customers’ sales journey by providing and managing communication regarding: quotes, POs, invoices, payments, and software delivery

  • Contact customers and send reminders to ensure timely payments

  • Handle basic customer queries and assist in automating routine support emails to ensure quick and efficient responses

  • Distribution of company's software to our international customers

  • Manage sales tax requirements on US customer purchases (experience with Avalara is a plus)

  • Update and manage internal accounting databases and spreadsheets

  • Assist Operations Manager in selecting software solutions and automating data capture/organization across invoicing, payments, customer communications, and CRM

  • Implement and manage company's subscription accounts (e.g., Zoom, Slack, etc.) in a centralized and transparent manner

  • Assist in reconciling financial statements

  • Assist in validating financial transactions and ensure credit card purchases accurately correlate with account and subscription charges.

  • Report on the status of accounts receivable

Qualifications:

  • Tech savvy with proven experience utilizing computer systems and online portals (ability to quickly and proficiently learn company license creation portal)

  • Skilled in key software tools like Google Suite, Microsoft Business Products, SAP Ariba, CRM platforms (e.g., Salesforce), and customer messaging systems (e.g., Help Scout)

  • Background in account management and customer support

  • A proven track record in managing administrative responsibilities and overseeing financial transactions

  • Experienced in navigating and thriving in a remote work environment, demonstrating adaptability, maturity, and effective virtual communication skills

  • Degree in Business, Economics, or other relevant major

  • Ability to problem solve and find answers to new challenges

  • Meticulous and independent work ethic, with a strong focus on practicality, organization, and operational excellence

  • Ability to craft effective customer support responses and effectively liaise with internal teams and external customers

  • Proactive in overseeing and executing a wide range of responsibilities

  • Skillful in cultivating organized and transparent business processes

  • Ability to embrace new technology swiftly and find innovative ways to enhance operations in a fully remote company
