Environmental champions supporting solutions to clean air and water is looking for an Administrative Associate to fill in for a 4-month assignment that could lead to a permanent position.


Hours/Schedule: Full-time, flexible


Job Type: Contract 10/1/22-2/1/23


Location Requirements: Hybrid

Rate: $24-28/hour

Job Description: The Administrative Associate will directly support the Director of IT and Administrative Services (SVP of Human Resources & Administration between the months of 10/1/22-2/1/23) in executing the administrative operations of the company and its sister organization.  Responsibilities include assisting with office and staff operations to create a more equitable and inclusive work environment, supporting new hire onboarding, and providing general administrative support to the Human Resources and Administration department.


  • Assist in providing general office and administrative support (phones, copiers, eFax, postage meter, etc.) in our Washington, DC office
  • Assist with incoming mail and deliveries for the Human Resources & Administration department
  • Notify staff members if they have packages in the mailroom of the building or lobby of our suite Serve as backup point of contact for building operations notifications including assistance with staff mail deliveries when needed
  • Submit work order requests to building engineer/manager and applicable vendors
  • Check general voicemail inbox and eFax inbox twice daily and distribute incoming information
  • Provide assistance to the Director of Board Relations with staff lunches when needed
  • Place orders for coffee, snacks, and kitchen/office supplies and unpack when delivered. Manage inventory
  • Greet incoming visitors when the receptionist is unavailable
  • Coordinate operations and technology onboarding for new hires and offboarding for departing employees
  • Work with hiring managers on collecting information and scheduling onboarding sessions
  • Work with IT consultants, MIS, to set up technology for incoming new hires
  • Conduct operations onboarding sessions with the administrative team
  • Ensure that all new staff members have access to administrative and technology related guides, policies, and procedures
  • Work with supervisors and departing employees to ensure offboarding process is followed
  • Update Operations Resource Library when needed
  • Place staff business card orders and research updated paperless options for business cards
  • Assist with processing payments for the Human Resources & Administration department
  • Provide back-up support for the upkeep and management of timesheet process
  • Provide general administrative and planning support to the Human Resources and Administration department

  • 2 years of administrative experience
  • Experience with project management
  • Experience writing/creating documents for large audiences
  • Experience working with databases, scheduling, budgeting or tracking inventory
  • Experience working with a non-profit organization
  • Experience working with external vendors
  • Experience with training others
  • Highly attentive to detail and able to take ownership of routine tasks; excellent written and oral communications skills; proficient in Microsoft Office and Google Suite; able to maintain confidentiality; strong organizational skills; exhibits strong judgment; self-starter; works well in a fast-paced environment; ability to handle multiple tasks under pressure of deadline and work for several people; plans and can see the big picture

  • Working Conditions: This job operates in a professional office environment, and routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, and audiovisual systems. This position also involves office management; it requires frequently moving about inside the office to access office equipment, occasionally moving objects up to 20 pounds, and seldom positioning oneself to maintain equipment
