Job Description: The Administrative Associate (AA) plays a key role in supporting our nonprofit clients and internal team operations. This position combines client facing responsibilities with hands-on internal support, including day-to-day management of the Salem, MA office.
The Administrative Associate will work closely with a dedicated portfolio of clients, providing essential administrative support while also contributing to the overall efficiency and smooth functioning of internal workflows and office operations. Responsibilities:
- Lead day-to-day administrative support for assigned nonprofit clients with a focus on proactive communication, task ownership, and follow-through.
- Provide light project coordination by tracking deadlines, supporting special initiatives (e.g., audits, reporting), and assisting C-Level leadership members as needed.
- Manage calendars and scheduling for client teams and internal staff, including key meetings, events, and deadlines
- Coordinate travel logistics and related bookings
- Handle document workflows, including edits, signatures, and file organization
- Oversee mail, scanning, filing, and supply orders for clients and internal team
- Maintain accurate data entry and database records
- Lead fulfillment of client mailings and special project requests
- Support internal operations – including logistics, schedules, mail, and in-office reception
- Supervise or delegate tasks to interns, ensuring quality and effective use of their time
- Take on other priority tasks and projects as assigned by the C-Level leadership
- 2 years of relative work experience, preferably in the non-profit sector
- A successful candidate must have an ownership mindset, drive vision and purpose, communicate effectively, drive results, and work collaboratively
- Positive attitude and commitment to justice and equality for all; organization primarily supports nonprofits with progressive social missions
- Enjoy working in a fast-paced environment and can remain highly organized without losing sight of the broader objectives
- Strong initiative and sound judgment; able to prioritize task, problem-solve, and work independently with minimal supervision
- Exceedingly strong attention to detail and the ability to navigate shifting priorities and changing environments
- Excellent interpersonal and communication skills; able to collaborate effectively with teams and external partners
- Proficiency with Microsoft Office Suite, especially Excel and Word; Computer database applications like Salesforce, a plus
- High level of poise and professionalism in all circumstances
