Sports related foundation in Northern Virginia seeking a Development Coordinator for virtual work, 35 hours/week.

Job Description: The Development Coordinator provides essential administrative and logistical support to the fundraising team, ensuring efficient operations that enhance donor engagement and fundraising success. Reporting to the Director of Development and collaborating with the Associate Director of Development, Development Manager, Marketing and Communications, and Programs and Services teams, this role assists in day-to-day development activities, donor stewardship processes, corporate sponsorship support, event coordination, and data administration.
Responsibilities:
Data Administration

Provide administrative support for fundraising operations, including scheduling, data entry, financial reporting, and donor communications

Record and maintain financial activity and funder interactions in donor and sponsor databases per departmental SOPs and guidelines.

Process donor gifts, acknowledgment letters, and stewardship efforts

Maintain donor databases and ensure accurate record-keeping of contributions, sponsorships, and event participation.

Assist in the development and production of marketing collateral and CRM landing pages

Compile and prepare monthly revenue reporting and assist with mailings for committees and leadership
Donor Engagement

Ensure proper stewardship activity protocol so that team members and volunteers are provided information and materials

Assist with donor cultivation and stewardship mailings, electronic follow up and other related efforts.

Other duties as assigned.
Research and Reporting

Conduct research as requested by the Development team, primarily focused around corporate sponsors, foundations and individual donors.

Prepare prospect presentations for the Development team

Support the team in compiling impact reports that demonstrate donor contributions and program success.

Assist in the maintenance of records for monthly financial reporting on donations for our accounting department.
Team Support

Maintain and update the Development annual workplan in project management system

Prepare sponsorship agreements, create invoices, and maintain cadence of follow up and moves management

Track and support sponsorship agreements with benefits are entered and managed in team project management system

Track all Development team accounts receivable from donors, sponsors, foundations, and follow up as needed

Track all Development team accounts payable to ensure timely payment of vendors and partners

Assist in outreach and follow-up for sponsorships and auction items for events and general support.

Prepare and distribute agendas, meeting notes, materials, and follow-ups for meetings.

Maintain and update internal communication platforms, such as Google Sites, for various committees.
Special Events

Provide logistical and administrative support for Foundation events, helping to enhance donor engagement and program awareness.

Assist in coordinating event logistics, including supplies, volunteer needs, and venue arrangements in collaboration with Development, Marketing, and Programs & Services teams.

Assist in post-event stewardship activities to support donor retention.

Contribute to periodic reports evaluating event outcomes, donor engagement, and revenue generation.
Qualifications:

High School Diploma (or GED or High School Equivalence Certificate) required.

College Courses, Trade or Bachelor's Degree preferred.

3+ years’ experience working in a nonprofit Advancement office (knowledge of CRM systems and capital campaigns or major gift fundraising is a plus)

Expertise in use of technology for Advancement activities including database tracking/reporting, research, email marketing, social media and online giving communications. Knowledge of systems such as Microsoft Office (Word and Excel), Google Suite (Google Drive, Google Docs, Gmail), Project Management Platform (ClickUp) and other CRM systems (CharityEngine, Zendesk)

Skilled in developing and sustaining relationships with donors, board members and key volunteers.

Strong knowledge of Advancement processes to acquire, cultivate and steward donors.

Event coordination experience
- Must reside in the Mid-Atlantic region (MD, DC, VA, WV).
