Top rated wealth management firm in the McLean area needs an Estate Planning Coordinator to help their EP Department with client scheduling and follow-up.
 

Hours/Schedule:  20 hours/week over 4 or 5 days. Flexibility within core workday hours.
 

Job Type: Contract to Hire

Rate: $25-35/hour

 
Job Description: This position coordinates client meetings, gathers, records, and accesses client information, to assist all attorneys with preparation for initial and document signing meetings.

 
Responsibilities:  

  • Schedule and confirm client meetings by coordinating with EP Department Associates
  • Request necessary documents and ensure receipt of required client information prior to scheduled meetings
  • Document scanning and maintenance of paper and electronic filing systems
  • Timely and accurate data entry into firm databases
  • Preparation for client meetings, to include confirmation calls, document prep and review, and appropriate scanning & filing of client documents
  • Witness or confirm witness of document signings by clients and notarize as requested
  • Receive final documents from Associates, ensure they are uploaded to client portal, and notify all require parties of document availability
  • Proficiency in drafting Plan Design Summaries for Senior and Associate attorneys
  • Interpreting client accounts and executing funding-relate matters and tasks
  • Maintain client pipeline and status of each client; reviews with EP team on a regular basis with supervision from department manager
  • Regular interface with staff and clients as appropriate

 

Qualifications:  

  • Bachelor’s Degree.
  • Minimum of 1 – 3 years of experience in a financial or estate planning firm
  • Strong attention to detail and organizational skills are required
  • Proficiency in MS Excel, Outlook, and Word are required
  • Experience with Microsoft CRM a plus
  • Experience with multi-line phone system a plus
  • Good communication skills; both verbal and written
  • Ability to multi-task and juggle multiple priorities
  • Client and internal communication is timely, accurate, and thorough
  • Collaborative and supportive team player
