Wealth advisory and financial advising company in McLean, VA is looking for an Executive Admin Assistant to help out through February 2022.


Hours/Schedule: Full-time through February 2022


Job Type: Contract


Location Requirements: On-site


Rate: $30/hour

Job Description: This position supports the firm's President/CEO with calendar management, inbox triage, meeting preparation, and helping with general administrative tasks. This position reports to the firm's CEO/COO and will have daily interaction with all senior executives, the support team and their client base.


  • Provide administrative support for the firm's President/CEO
  • Act as Gatekeeper for the President's office
  • Schedule and coordinate CEO's meetings and manage calendar conflicts
  • Confirm appointments
  • Assist CEO with managing client relationships while providing a high level of service
  • Interact with clients and triage their needs in a timely and professional manner
  • Answer incoming phone calls for the firm alongside Operations Team
  • Prepare and print meeting materials, as requested
  • Maintain client account records in CRM
  • Manage multiple tasks and maintain ability to juggle competing priorities through organization and prioritization of work
  • Assist with various projects as appropriate
  • Assist the COO on an as needed basis
  • Adhere to the Firm’s Best Practices




  • 5+ years’ experience in an executive level position/professional office environment (ideally a financial services office)
  • Ability to anticipate support and administrative needs
  • Excellent oral, written and interpersonal skills; strong work ethic, client service orientation, job commitment, initiative and attention to detail
  • Maintain professional demeanor due to regular interaction with senior leadership and clientele
  • The ability to work with all levels of management and anticipate support requirements are critical skills needed to be successful in this role
  • Ability to exercise independent judgment with minimal supervision and maintain a high degree of confidentiality with regard to organizational and personnel matters
  • Strong organizational and computer skills, with intermediate level proficiency in Word and Excel applications
