Foundation in Herndon, VA seeks FT Flex Executive Assistant to support COO in a mostly remote role. 

Hours/Schedule: Full-time, flexible

Job Type: Direct

Location Requirements: Mostly Remote with occasional meetings in Herndon office as needed 

Rate: $70-75K salary (compensation is commensurate with experience) plus excellent benefits

Job Description: Serve as the “right-hand person” to the COO, enabling her to advance company initiatives and goals. This person will filter and attend to day-to-day functions so that the COO can focus on high-level leadership and strategy functions.

Responsibilities:  
Executive Support

  • Anticipates the needs of the COO. Understands the COO’s calendar and prepares documents in advance of meetings, events and conferences without reminders, etc.
  • Completes a broad variety of administrative tasks for the COO including responding to emails, managing a calendar of appointments; completing expense reports, arranging travel, event coordination; composing and preparing correspondence that is sometimes confidential; arranging complex and detailed plans, itineraries, and agendas.
  • Communicates directly, and on behalf of the COO with volunteers, donors, staff, and others, on matters related to organizational business.
  • Provides a bridge for smooth communication between the COO internally and externally.
  • Provides leadership to establish relationships crucial to the success of the organization and handles a variety of special projects for the COO, some of which may have organizational impact.

Fundraising Support
In support of the COO’s efforts to recruit, retain, and steward donors, the executive assistant will

  • Manage individual relationships with current and prospective donors, arranging cultivation meetings and ensuring outstanding stewardship at all times, from first approach to appropriate acknowledgment on all our channels.
  • Develop and maintain databases.
  • Research existing and potential supporters, identifying donor profiles in order to keep our fundraising strategy relevant.
  • Research grant opportunities and handle grant administration.
  • Support efforts to streamline data tools and donations processing.
  • Support planning, logistics, and communications of fundraising events and campaigns.
  • Enter donor notes from the COO in the donor database as advised.
  • Maintain physical files of donor receipts and checks in accordance with document retention policy.
  • Conduct data analysis and interpretation; applying various methods and techniques to extract, transform, and analyze data in order to draw conclusions and insights.

Qualifications:  

  • High school diploma or GED required.
  • Associate’s or Bachelor’s Degree preferred.
  • 5+ years related experience in an administrative support role required.
  • Experience with Google Suite, to include G-Mail, Google Sheets, Google Docs, Google Slides, Google Drive preferred.
  • Ability to professionally handle sensitive information and maintain confidentiality.
  • Proactive problem solver with exceptional communication skills and meticulous attention to detail.
  • Ability to maintain a realistic balance among multiple priorities is imperative.
