Small venture capital firm based in Washington, DC is looking for an experienced Executive Assistant /Office Manager for a long term maternity coverage through the end of October

Hours/Schedule: 30 hours/week ,  flexible schedule 

Job Type: Contract 

Location Requirements: Hybrid , onsite 4 days weekly with one day working remotely,  early July-end of August onsite one day weekly  

Rate:  $40-$50/Hr. based on experience

 
Job Description:  Executive Assistant/Office Manager will coordinate with firm's leadership to provide administrative and operational support, while also contributing to projects that help strengthen team collaboration and morale. This individual will report to the COO/CFO and handle all administrative duties for the 2 Co-founders/Partners as well as manage office responsibilities to help maintain a pleasant work environment. This role will be to cover a maternity leave and begin by early June and last until the end of October .

 
Responsibilities:  

  • End-to-end meeting management
  • Manage rapidly shifting calendars, with an understanding of meeting priorities
  • Manage event logistics, eg, team dinners, offsite meetings
  • Coordinate frequent domestic travel, including managing on-the-ground logistics
  • Submit monthly expenses for the 2 Co-founders/Partners
  • Provide proactive upkeep of the office
  •  Daily and/or weekly checks of pantry, fridge, conference rooms and bathrooms
  • Order supplies for office
  • Order groceries and snacks for office
  • Initiate and manage team lunch order when the team is in the office
  • Monitor doorbell; greet guests
  • End-to-end set up and clean up of any in-office events
  • Liaison between office and remote IT support for any IT/AV needs
  • Very strong technical capability in Google calendar and Google Suite; experience with Box is a plus
  • Prior experience working in a technical environment preferred
  • Previous experience working with senior leadership in a fast-paced, ever changing environment
  • Demonstrated ability to structure calendar cadence to support long-term business objectives
  • Ability to pivot and respond to rapidly shifting priorities
  • Strong collaboration and teamwork experience
  • Strong relationship management skills with ability to build and maintain a strong internal network within the company
  • Experience in end-to-end project management with proven track record of meeting deadlines
  • High attention to detail
  • Able to anticipate needs and find opportunities to add valu
  • Excellent problem solving and decision making skill
  • Experience with complex travel and logistics
  • Ability to handle confidential information

Qualifications:  

  •  Minimum of five years of Executive Assistant and/or Administrative Assistant/Office Manager experience 
  • Very strong technical capability in Google calendar and Google Suite; experience with Box is a plus
  • Prior experience working in a technical environment preferred
  • Previous experience working with senior leadership in a fast-paced, ever changing environment
  •  Demonstrated ability to structure calendar cadence to support long-term business operations
  • Strong relationship management skills with ability to build and maintain a strong internal network within the company
  • Experience in end-to-end project management with proven track record of meeting deadlines
