Alexandria, VA based Association is looking for a Manager, Events Registration and Housing
Hours/Schedule: 37. 5 hours a week

Location Requirements: Hybrid, 2 days a week in the office every other week
Rate: $40/hour OR FT with benefits
Job Description: The Manager of Events Registration and Housing oversees events. This includes programming, opening, reporting, reconciling, closing, and maintaining registration systems and relationships with suppliers. Additionally, this position provides customer service support for the attendee and exhibitor housing.
Responsibilities:
Registration Management
- Oversees development, testing, and implementation of registration systems for five to seven events annually, ranging from 100 to 20,000+ participants.
- Evaluates, recommends, and supports complementary event technologies (e.g., RFID/Beacon, Facial Recognition).
- Develops registration floorplans and layouts in collaboration with registration services supplier(s), general contractor(s), and event venue(s).
- Works with the Finance department and supplier(s) on financial close out for registration income and expenses. Maintains accurate projections.
- Contributes to and reviews registration and housing content for marketing and communications, including posting content on websites.
- Coordinates registration rates and requirements for events (e.g., workshops, facility tours) with internal & external customers.
- Travels to conduct site visits and to supervise badge pickup/onsite registration for events, as needed.
- Supervises the Registration Coordinator, setting performance goals and objectives.
- Sources temporary personnel for events as needed and prepares work assignments, schedules, and training materials.
- Models a strong commitment to customer service and a track record of building and maintaining relationships.
- Researches, evaluates, and negotiates registration supplier and related service contract(s) and acquires the lowest costs possible while maintaining highest quality service level.
- Manages relationships with registration supplier(s) and related service suppliers to ensure that work is conducted to specifications.
- Documents processes for all registration systems (mapping, flow, rates, discounts, etc.).
- Continuously evaluates, measures, and improves registration processes, procedures, and documentation.
- Manages the housing supplier’s development of attendee, exhibitor, and other subgroup housing websites.
- Communicates advance housing information to attendees, exhibitors, member associations, and non-exhibiting affiliate groups.
- Coordinates hotel rebate invoice and collection process with Finance department.
Qualifications:
- Bachelor’s Degree or equivalent combination of education and experience.
- 3+ years’ experience in registration and customer service for conferences exceeding 10,000 registrants.
- Able to travel (up to 10% of the year) and work events from move-in through move-out, which demands:
- Proficient with Microsoft Office Suite and experienced with content management and association management software.
- Strong interpersonal, negotiation, problem-solving, and conflict resolution skills.
- Strong business math skills.
- Excellent written/oral communication skills.
- Excellent organizational and time management skills.
- Adaptable to changing business needs, conditions, and responsibilities.
- Able to manage multiple projects, meet deadlines, and make timely decisions with autonomy.
- Able to occasionally work nights and weekends.
