Life sciences company seeks office administrator to help with imports for hybrid, part-time position.

Position Title: Office Administrative and Customer Support 

Company:  A leader in life sciences with the mission to make people's lives healthier and safer. Through benchmark services and product brands, they accelerate research and improve patient outcomes for their many business clients.

Location: Hybrid; office in Tewksbury, MA

Job Type:  Contract to permanent

Hours/Schedule: 5 days per week; 30 hours/week

Rate:  $30/hr
 
Position Summary: 

  • Apply sales order entry system, catalogs, price data, and sales aids to provide accurate information to customers, including preparing & interpreting quotes, promotions, and credit policies.
  • Assist with export documentation where required, ensuring that Service and Operations departments are providing the required documentation and information to enable goods to travel in and out of the country.
  • Handles and responds to all types of customer service issues, orders, service and general enquiries.
  • Takes ownership for customer follow-up and communication.
  • Resolve sophisticated or difficult customer queries seeking support and clarification where appropriate.

Key Responsibilities:

  • Responds to all inquiries from Customers and Sales and acts as the point of contact for all issues related to order fulfillment, including pricing schedules/pricing changes, legal & contractual obligations, finance terms and delivery timelines.
  • Increase revenue by participating in up-sell and cross-sell promotions.
  • Participate in internal PPI programs to improve sales operations and customer care initiatives.
  • Adhere to SOP’s and departmental training guidelines.
  • Assess individual customer requirements and direct activities to appropriate departments.
  • Utilize sales order entry system, catalogs, price data, and sales aids to provide accurate information to customers, including interpreting quotes, promotions, and credit policies.
  • Maintain weekly sales order log, reports, and other records; provide reports and logs as required.
  • May be required to perform other related duties as required and/or assigned by Manager.
  • Responding quickly and professionally to all customer inquiries, e-mails, including pricing, availability, order status, shipping details, etc. for domestic and international markets.
  • Assist with export documentation where required, ensuring that Service and Operations departments are providing the required documentation and information to enable goods to travel in and out of the country.
  • Control of Entry Summaries against the German Export Invoice and communicate corrections with the forwarder in charge

Qualifications:

  • A minimum of 1-2 years for related Customer Service experience or related field.
  • Must demonstrate working knowledge of personal computer applications such as ERP Systems, SalesForce.com and Microsoft Office Tools.
  • Ability to identify, solve problems, and to multi-task under deadline.
  • Must be detail oriented.
  • Intermediate level with Excel.
  • Troubleshooting experience.
  • Works well with limited supervision.
  • Takes initiative.
  • Team oriented.
  • Flexible with scheduling and reprioritization.
  • Finance background a plus.
  • Import/Export experience a plus.
