Securities and Advisory Services company is looking for an Office/Administrative Assistant to work in their Vienna office.
Hours/Schedule: Full-time
Job Type: Contract to hire
Location Requirements: Initially, all of the work must be in the Vienna, VA, office, but after the probationary period, it will be a combination of in-office/at-home with some flexibility. Note: Some events/workshops are in the evening and may require setup support from time to time.
Rate: $30/ hour
Job Description: Manage the day-to-day administrative tasks, workflows, and event coordination.
Responsibilities:
- Help improve the efficiency of office processes and communication
- Manage work-flow and ensure continuous follow-up for clients, prospects, and team
- Manage correspondence and maintain databases
- Draft written correspondence and newsletter articles
- Maintain the status of workflow items and coordinate with third-party vendors and team
- Prepare materials for presentations and client meetings
- Plan and coordinate small workshops and events
- Follow up with clients, event attendees
- Manage tickets in the CRM system and communicate status
- Ad hoc support as required
Qualifications:
- Positive, can-do attitude
- High level of integrity, honesty, and values
- Excellent follow-up, follow-through, and organization skills
- Excellent oral and written communication skills
- Strong computer skills including Word, Excel, and PowerPoint. CRM experience preferred.
- Bachelor’s Degree
- Exercise common sense, good judgment, and initiative in selecting the most effective work methods and tools
- Self-motivated with a strong emphasis on organization
- Able to work independently with minimal supervision and work well with a team
- Strong commitment to delivering a high level of customer service
- Financial Services experience a plus
