Government consulting firm is looking for a Program Coordinator to join their team 

Hours/Schedule:  Full-time, flexible

Job Type:  Direct

Location Requirements:  Hybrid , must be local to the WDC area, will be onsite when required in their Chevy Chase, MD. office   

Rate: 75k-85k based on experience, excellent benefits

Job Description: This role provides strategic and tactical administrative services to help firm's team members and their government, academic, and corporate collaborators. The Program Coordinator must be able to coordinate simple and complex projects on time and within budget, communicate effectively with team members and external clients, and keep focused on the company’s vision for sustainable growth while executing on the day-to-day requirements. 

 
Responsibilities:
Program Coordination:

  • Generate a wide range of communications materials, including formal reports, working group minutes, peer review summaries, fact sheets, briefing books, transcripts, agendas, meeting materials, etc.
  • Attend and document scientific meetings (both in person and virtually) on a regular basis, capturing high-level outcomes and action items quickly and accurately.
  • Coordinate a team of colleagues and collaborators in defining, implementing, and measuring the tasks necessary for project success.
  • Provide ongoing support and maintain effective communication, as needed, with Program Officers of large, infrastructure grants, including cooperative agreements.
  • Analyze client needs and integrate knowledge from different projects/meetings/tasks/documents to ensure consistency and accuracy across all programmatic functions.
  • Build relationships as necessary for program expansion and stability; nurture and maintain client relationships across projects.
  • Recommend process improvements to provide more timely, detailed, and efficient internal controls, reporting, data consolidation, and workflow practices.
  • Coordinate with other divisions to provide ancillary support services to clients (literature reviews, scientific meeting summaries/reports, research analysis, etc.).
  • Manage project expenses to stay within budget, track spending, and work closely with Contracts/Accounting team to ensure timely and accurate payment processing and reporting.
  • Assist in preparing monthly and annual progress reports.
  • Keep abreast of industry or technology shifts that will impact firm's service delivery and new business opportunities.

Logistics Coordination:

  • Support science-focused or research-based events to include management and execution of all logistical support and reporting requirements for universities, research organizations, and institutions, including the federal government (and/or federally funded grants/programs).
  • Manage registration, event website content, invitations, and pre-event correspondence.
  • Develop, monitor, update, and adhere to project plan/timelines.
  • Develop RFPs and negotiate hotel and vendor contracts/agreements.
  • Host and manage virtual meetings.
  • Coordinate travel arrangements within government/client regulations.
  • Assist speakers, presenters, and participants virtually and onsite; provide ongoing, proactive communication with participants.
  • Prepare all meeting collateral materials for packaging and distribution onsite.
  • Provide onsite support, including vendor management and setup.
  • Post-event support, including debrief, reimbursement processing, and completion of timely closeout/reporting requirements.

Qualifications:  

  • Minimum of six years coordinating federal programs, awards and/or projects.
  • Bachelor’s degree in related field.
  • Thorough knowledge of Federal Travel Regulations (FTR) and government regulations pertaining to event management.
  • Exceptional verbal and written communication skills.
  • Ability to communicate effectively in a professional manner with stakeholders at all levels.
  • “Can do” attitude and ability to work well in a fast-paced, proactive team environment with a flat organizational structure.
  • Strong organizational skills and ability to prioritize and complete multiple tasks simultaneously, on time, and with limited oversight.
  • Strong critical thinking, analytical, and problem-solving skills.
  • Demonstrated experience in building and following templates and processes.
  • Proficiency with Microsoft Word, Excel, PowerPoint, Outlook, SharePoint, Adobe, etc.
  • Demonstrated competency with project/resource software and ability to learn new applications quickly.
  • Ability and willingness to work periodic weekends and early morning/late evenings to meet deadlines and provide onsite support.
  • Professional certification (CMP, CGMP, PMP), a plus
  • Experience coordinating international meetings and travel. 
  • Experience with SharePoint, project/resource management software, virtual meeting platforms, and registration systems, a plus
