Alexandria, VA based trade Association is looking for an Executive Assistant 
 

Hours/Schedule:  32 hours week in the office, 3 hours remote 

 

Job Type: Direct

 

Location Requirements: On-site

Rate: $65,000/year salary with benefits 

 
Job Description: 

This position works collaboratively with various departments within the organization and reports to the CFO.  This is an in-person position in the Alexandria, Virginia office with the opportunity for occasional telework after six months of employment.  

 
Responsibilities:  

CRM Database  

  • Responsible for maintaining organization’s SalesForce database by ensuring that accounts and customer information is entered and updated  

  • Maintains data integrity by following standard operating procedures  

  • Responsible for entering vendor contract information into SalesForce 

  • Responsible for data integrity and accuracy, reviewing data for deficiencies or errors, correcting, deleting, or reentering data 

  • Work with our CRM administrator to test customer and account system changes and upgrades 

  • Assist CRM administrator in developing SalesForce reports and dashboards 

Administrative 

  • Support executive team members with scheduling in-person and virtual meetings, providing logistical support for in-person meetings, and general office tasks. 

  • Assist Legal Department in preparing contracts and agreements for execution using DocuSign and other relevant software.  Monitor execution process and correspond with parties and staff regarding execution process and provide technical assistance when necessary.  Perform contract management functions. 

  • Serve as liaison to the Board, maintain Board member list, send out communications from the staff, assist with briefing materials. 

  • Draft, proofread, edit, and coordinate correspondence and Board meeting minutes. 

 

Qualifications:  

 

  • Bachelor’s Degree preferred, or equivalent and relevant business experience 

  • Minimum of five years of experience in providing detail- oriented administrative support and CRM database data entry 

  • Superior communications skills, both written and oral 

  • Demonstrated ability to set priorities, manage deadlines, and multi-task 

  • Attention to detail a must 

  • Proficiency in Microsoft Office suite including Outlook, Word, Publisher, Excel and PowerPoint  

  • Experience with Salesforce or other CRMs
